Privacy Policy

1. Overview

RepTrack ("we", "our", "the extension") is a Chrome browser extension built for Canadian immigration consultants. This privacy policy explains what data RepTrack accesses, how it is used, and what is never collected.

2. What RepTrack accesses

RepTrack accesses the following in order to function:

• IRCC representative portal pages — RepTrack reads your IRCC portal application list and individual application dashboard pages to detect new messages. This data is processed locally in your browser and is never sent to our servers.
• PDF files from the IRCC portal — RepTrack downloads PDF letter files from the IRCC portal directly to your computer's Downloads folder. These files are never uploaded to or stored on our servers.
• Your license key — RepTrack stores your license key locally in Chrome's storage to keep you logged in. The license key is sent to our licensing server (Google Apps Script) only to verify it is valid.
• Downloaded message IDs — RepTrack stores a list of previously downloaded message IDs locally in Chrome's storage to prevent duplicate downloads. This list never leaves your computer.

3. What RepTrack does NOT collect

RepTrack does not collect, store, transmit or share any of the following:

• Client names, UCI numbers, or application numbers
• Message content or PDF file contents
• Your IRCC login credentials
• Browsing history or activity outside the IRCC portal
• IP addresses or location data
• Personal identifiable information of any kind
• Financial or payment information

4. Data storage

All data used by RepTrack is stored locally on your computer using Chrome's built-in storage API. This includes your license key and the list of downloaded message IDs. This data never leaves your computer except for license key validation as described above.

PDF files downloaded by RepTrack are saved to your computer's Downloads folder. RepTrack does not upload these files anywhere.

5. License validation

When you activate RepTrack with a license key, the extension sends your license key to our licensing server (hosted on Google Apps Script) to verify it is valid and active. No other information is sent. The server responds with your firm name and license expiry date only.

6. Third party services

RepTrack uses the following third party services:

• Google Apps Script — used for license key validation. Subject to Google's privacy policy at policies.google.com/privacy.
• Stripe — used for payment processing. RepTrack does not store payment information. Subject to Stripe's privacy policy at stripe.com/privacy.

7. Permissions used

RepTrack requests the following Chrome permissions and uses them only as described:

• storage — to save your license key and downloaded message IDs locally on your computer.
• downloads — to save PDF letter files to your Downloads folder.
• tabs — to detect when you are on the IRCC portal and communicate with the active tab.
• activeTab — to inject the RepTrack scanning interface into the IRCC portal page.
• scripting — to run the scanning logic on the IRCC portal page.
• Host access to IRCC portal — to read application data and detect new messages on the IRCC representative portal.
• Host access to script.google.com — to validate your license key.

8. Children's privacy

RepTrack is intended for use by licensed immigration professionals. It is not directed at children under the age of 13 and we do not knowingly collect information from children.

9. Changes to this policy

We may update this privacy policy from time to time. We will notify users of any significant changes by updating the date at the top of this page. Continued use of RepTrack after changes constitutes acceptance of the updated policy.
