Getting started

How do I install RepTrack?

Search for "RepTrack" in the Chrome Web Store and click "Add to Chrome". Once installed you will see the RT icon in your Chrome toolbar. Click it and enter your license key to activate.

Where do I get my license key?

After payment your license key is emailed to you automatically. It looks like R-705964. Check your spam folder if you don't see it within a few minutes.

How do I activate my license?

Click the RT icon in Chrome toolbar โ†’ enter your license key โ†’ click Activate License. You only need to do this once per computer.

Running a scan

How do I start a scan?

1. Log into your IRCC representative portal. 2. Go to your application search results page. 3. Set entries to show 250 per page. 4. Click the RT icon โ†’ click Start Scan. RepTrack does the rest automatically.

How long does a scan take?

A full scan of 2,000+ applications takes approximately 30-40 minutes. You can leave it running in the background while you work on other things.

Can I stop a scan midway?

Yes โ€” click the RT icon and click Stop Scan at any time. All results found so far are saved and PDFs already downloaded are remembered so they won't be downloaded again next time.

What does "Skipped" mean in the panel?

Skipped means RepTrack found a message that was already downloaded in a previous scan. It skips it to avoid duplicates. This is normal and expected behaviour.

PDF downloads

Where are PDFs saved?

PDFs are saved to your computer's Downloads folder automatically. They are named in the format: DATE_APPNUMBER_NAME_MESSAGETYPE.pdf for easy filing.

Why are some messages not downloading as PDFs?

Some IRCC messages do not have a PDF attached yet โ€” they show as "New Message" in the portal but the PDF link shows as "#". This is an IRCC portal limitation, not a RepTrack issue. RepTrack will detect these messages and record them in your CSV report.

Will RepTrack download the same PDF twice?

No. RepTrack remembers every PDF it has downloaded using a unique message ID. If you run the scan again the same day or the next day, already downloaded PDFs are automatically skipped.

Troubleshooting

I see "Connection error" when entering my license key

This usually means the extension needs to be updated. Go to chrome://extensions, find RepTrack and click Update. Then try again.

The scan shows 400 errors in the console

400 errors happen when the IRCC portal session token expires during a long scan. RepTrack automatically retries up to 3 times. If errors persist, refresh the portal page and start a new scan.

The scan stopped halfway through

This can happen if your internet connection dropped or your IRCC session expired. Simply refresh the portal page and start the scan again โ€” already downloaded PDFs will be skipped so no duplicates.

RepTrack is not detecting new messages

Make sure you are on the IRCC representative portal search results page showing 250 entries per page. If the issue persists please contact support at support@reptrack.ca.

How do I cancel my subscription?

Email us at support@reptrack.ca with your license key and we will cancel your subscription immediately. No questions asked.

Can I use my license on multiple computers?

Yes. Your license key can be used on multiple computers at your firm. Simply enter the same key on each computer.

How do I renew my license?

Monthly licenses renew automatically. Annual licenses will receive a renewal reminder email 30 days before expiry.

Team access

How do I add team members?

Simply share your license key with your team members. They install RepTrack from the Chrome Web Store and enter the same key to activate. The monthly plan supports up to 5 team members. The annual plan supports unlimited team members.

Will team members download duplicate PDFs?

No. RepTrack memory is stored locally per computer. We recommend running the scan from one dedicated computer per day to avoid duplicates across team members.
